Learn how to run reusable AI workflows to automate recurring bookkeeping and accounting work.

Running Tasks

Many bookkeeping and accounting workflows repeat every week or every month. Whether it's processing vendor bills, creating payroll journal entries, posting daily sales, or preparing month-end workpapers, the process is often the same every time.

Instead of writing the same prompt over and over, you can save these workflows as Tasks and run them whenever you need them.

Note: This guide focuses on running existing Tasks. In the next guide, we'll show you how to create and customize your own.

What is a Task?

A Task is a reusable AI workflow that captures how your firm performs a recurring process.

For example, you might have Tasks for:

  • Processing monthly vendor bills

  • Creating daily Square sales journal entries

  • Preparing payroll journal entries from ADP

  • Reviewing a client's books before month-end

Once a Task has been created, anyone on your team can run it with just a few clicks.

Running a Task

Open the Task Checklist and select the Task you'd like to run. Each Task shows the files it expects as input. For example, a Square journal entry Task may ask for an Orders report, while a payroll Task may require your ADP reports.

Attach the requested files and click Run. Aqqrue follows the SOP behind the task and begins completing the work automatically.

Review before posting

As the Task runs, Aqqrue validates the data, applies your firm's accounting rules, and prepares the appropriate entries.

Depending on the workflow, it may ask a clarifying question before continuing.

When the Task finishes, the work is presented for your review. Nothing is posted to QuickBooks until you've approved it.

Run multiple Tasks at once

One of the biggest advantages of Tasks is that they can run in parallel. While Aqqrue is processing your Square sales entries, it can also be preparing payroll journal entries, processing vendor bills, or working on other client requests.

Think of it as having multiple AI team members working on different workflows at the same time - while you stay focused on reviewing the results.
