QuickBooks Online does not allow third-party applications to access transactions that are still pending in its bank feed. Aqqrue can sync transactions after they have been matched or added to the QuickBooks ledger, but it cannot pull pending bank-feed items directly from QuickBooks.
Owing to this, working with bank feeds in Aqqrue is a little different than working with other transaction types, such as bills, invoices, deposits etc. For instance, you cannot ask Aqqrue to access the QBO bank feed.
You have three options to work around this limitation and our customers have been successful with all of these options.
Option 1: Export the bank feed from QuickBooks
Use this option when you want Aqqrue to review the bank feed before anything is posted to the QuickBooks ledger.
Open the bank feed page in QuickBooks Online.
Select Export to Excel to download the current bank feed as a CSV file.
Upload the file to Aqqrue.
Ask Aqqrue to review the transactions and prepare the appropriate expenses, deposits, payments etc.
Review the drafts in Aqqrue, then approve and export them to QuickBooks
Remember that the downloaded bank-feed items have not yet reached the QuickBooks ledger and importing the CSV into Aqqrue does not create a duplicate by itself.
Aqqrue will create the required expenses, deposits, payments etc. from the bank feed and you can then post these to QBO after reviewing them.
Note: Aqqrue creates the required entries in QuickBooks, but it cannot clear the QuickBooks bank feed because pending feed items are not available to third-party applications. After exporting the entries from Aqqrue, return to the bank feed and match the corresponding transactions. QuickBooks will show the entries created by Aqqrue as suggested matches, and you can match them in bulk. Matching only clears the bank feed; it does not create another entry or change your ledger. Do not add the feed items as new transactions.
Option 2: Post in QuickBooks, then review and fix in Aqqrue (Recommended)
Use this option when you want to clear the QuickBooks bank feed first and use Aqqrue as a second layer of review.
We recommend this since it avoids the additional match step in Option 1, above.
Follow these steps:
In QuickBooks Online, match or add the bank-feed transactions so they are posted to the ledger. Do this in bulk and accept QBO's suggestions as is. (We'll correct them in Aqqrue)
Return to Aqqrue and select Sync to bring in the newly posted transactions.
Ask the AI agent to review the relevant bank or credit-card account for a specific date range.
Review Aqqrue's proposed corrections to payees, categories, classes, splits, or other transaction details.
Ask Aqqrue to make the approved changes, then approve and export them to QuickBooks.
Use this simple prompt:
Show me every transaction posted to [Bank Name] in [Date Range]. Review the payees, categories, classes, splits, and matches. Explain any issues you find and recommend the corrections before making changes.
This is similar to how you would reclassify existing QBO transactions and follows the same process.
This workflow is what most of our clients use since Aqqrue's AI does a better job than QBO when it comes to assigning payees, accounts, and following past precedents.
Option 3: Connect the bank directly to Aqqrue
You can also connect a bank or credit-card account directly to Aqqrue, like in QBO.
Open the Integrations tab in Aqqrue.
Connect the relevant bank or credit-card account.
Open the bank feed in Aqqrue.
Use the AI agent to review and process the transactions.
Aqqrue's bank-feed interface is still being improved. For now, use the AI agent as the primary way to work with the connected bank feed after connecting an account rather than relying only on the bank-feed view.
Whichever option you use, process each set of transactions through only one workflow, confirm the bank account and date range, and review Aqqrue's proposed work before exporting changes to QuickBooks.
